Join us as a Talking Therapies & Outpatient Administrator
We’re looking for a proactive and compassionate Administrator to become the vital link between our Talking Therapies and Outpatient Services and the people who need them most. This isn’t just an admin job, it’s your chance to be the first voice clients hear when they reach out for help, and a key part of a growing mental health team making real impact every day.

What You’ll Do:
You will be responsible for patient administration within our team of therapists, a vital and rewarding position, as our administrative staff are the first point of contact for people seeking support with their emotional wellbeing. You will play a central role in streamlining the delivery of treatment and helping reduce waiting times for our clients.
You will liaise with patients, GPs, therapists, psychiatrists and external agencies, joining a compassionate and supportive team. This post would suit someone passionate about making a real difference through administrative work or looking to gain experience towards a career in psychological therapies.
You will be part of building a collaborative team that values wellbeing, professional development, and excellence in patient care whilst delivering positive outcomes for the residents of Hertfordshire
Duties:
- Greeting clients with warmth and professionalism - over the phone and in writing
- Supporting therapists, and service lead with top-tier admin support
- Managing referrals and enquiries with sensitivity and care
- Maintaining records, schedules, and waiting lists with precision and confidentiality
- Liaising with GPs, external agencies, and clients to ensure smooth access to services
- Managing diaries and coordinating appointments seamlessly
- Assisting with audits and data collection to improve care and meet national standards
- Providing flexible support across departments as the service evolves
Essential Experience:
- Strong admin experience and excellent organisational skills
- Drivers Licence and access to a car
- Confidence using Microsoft Office and digital tools
- A compassionate, professional telephone manner
- Attention to detail and the ability to juggle priorities independently
- Clear and confident communication - written and verbal
- Experience of dealing with the general public
- Commitment to confidentiality and ongoing professional growth
- Comfortable with IT systems and data entry
Desirable Experience:
- Experience in healthcare, mental health, or counselling environments
- Understanding of Talking Therapies or IAPT services
- Previous NHS or medical admin experience
